Create orders

Registrars can create orders for both internal and external people. Usually, internal orders do not involve payment whereas external orders do.

Cornerstone SBX allows register multiple people for learning using the Assign Learning workflow.

Based on your system configuration, this workflow can provide you the following options:
  • Register

    Register one or more learners for one or more learning classes simultaneously

  • Add to plan

    Add one or more learning items to the learners' plans. Learners need to register for the classes separately.

  • Assign & Enroll

    Assign one or more learners to certifications or curricula and register them to classes within those certifications or curricula simultaneously.

Configure the Assign Learning workflow

The following settings control the options displayed in the Assign Learning workflow:

Select the default option for the Assign Learning workflow from one of the following:
  • Register
  • Add to Plan

This setting is not domain aware.

Register

Important: If none of these options are enabled, then Cornerstone SBX displays all options in the Assign Learning workflow. Therefore, it is recommended that system administrators select the required setting appropriately.

To configure these settings, system administrators must navigate to Admin > System > Configure System > Services > Learning > Settings.

The following figure illustrates the Assign Learning workflow for managers with the following configuration:
  • Enable the Register option in Assign Learning - Enabled
  • Enable the Add to Plan option in Assign Learning - Disabled
  • Enable the Assign & Enroll option in Assign Learning - Enabled

Features of the Assign Learning workflow

The Assign Learning workflow provides the following benefits:
  1. Single page for selecting the learning items and learners helps to reduce clicks and saves time.
  2. Simple, modernized, and elegant layout.
  3. Clear indication of error and warning messages.
  4. Ability to customize your selections based on the selected learning item or selected members. If you have selected multiple learning items, you can choose between members to whom the learning can be assigned and vice-versa.
  5. When you are enrolling the learner for a certification or a curriculum without providing the due date, Cornerstone SBX populates the date based on the value of the Target Days field (Completion Criteria section) of the certification or curriculum.

Order capacity

The order capacity is restricted to 200 items only. If the order capacity goes beyond 200 items, then an error message appears and does not add users to the cart. You can modify your search criteria to restrict the filtered users and then try again.

If the order capacity is within 200 items, then the all the selected users are added to the cart.

The cart capacity is displayed in the top right corner throughout the selection. The items selected in the cart is the Cartesian product of number of classes/courses and number of users selected. The counter is independent of any errors or warnings for any order. It simply displays items selected so far while placing the order.

When you try to bulk assign learning items from a domain to users who do not have access to that domain, Cornerstone SBX can display an error in the Errors And Warnings popup.
Note: This is controlled by the Apply domain restrictions for assigning learning items microsite property under Learning. By default, this property is set to 'Off', which means no error is displayed. However, the users to whom the learning is assigned, cannot access the learning items. Currently, this property is applicable only to courses and classes. For more details, contact your system administrator.
